Ticketing homologation — City of Lausanne

Several Ticketack customers already run their ticketing on the territory of the City of Lausanne. Ticketack supports the requirements of the Service de l’économie (Finance & management office / tourist taxes) : calculation of the entertainment tax (IDIV), mandatory wording and the City of Lausanne coat of arms on tickets, plus accounting extracts and reports suitable for declarations.

Paid events held in Lausanne are in principle subject to IDIV (currently 14% under the municipal tax decree). Only homologated computerised ticketing systems — or homologation of your own ticketing — may issue tickets on municipal territory. Official framework : Billetterie — Ville de Lausanne.

Homologation application (form 4.1b)

This guide helps you complete the application to operate a homologated ticketing system or to homologate your own ticketing (form 4.1b). Fill in your operating entity details (bylaws, commercial register, contacts, VAT, etc.) ; the points below cover Ticketack and the technical annexes.

Typically required : bylaws, commercial register extract, specimen signatures, debt enforcement extract, system concept / description, ticket samples (each type issued), sample tax statement, full price list, partner contracts if any. Return the file to the Service de l’économie (e-mail).

System concept and detailed description

Ticketack is a full computerised ticketing platform : configuration in Kronos (events, ticket types, prices, PDF layouts), online sales (e-shop / website), on-site sales (Ticketack app / tills) and access control (QR / barcode scan).

Cash flow (typical) : the participant pays the ticket price (cash, card, Twint, etc. depending on enabled methods) to the operating entity via the sales channel (box office or online payment configured on the instance). Ticketack records the sale, issues the admission title and keeps the accounting trail. Collected funds belong to the operating entity (or are remitted under the payment provider contract) ; Net Oxygen / Ticketack provides the software and is not the event organiser. The operator remains responsible for IDIV reporting and payment to the City of Lausanne.

Entertainment tax (IDIV)

Set the local tax rate in Kronos : Settings → Your information , Taxes section, Local tax field (for Lausanne, typically 14).

When local tax is set, IDIV is calculated on the accounting statement (unit / total IDIV columns) : Analysis → Accounting . It also appears on distributor reports. Operators typically send a monthly extract of the accounting statement to the Service de l’économie ; for some events a dedicated tax statement may also be required within the deadlines on the form (often within 10 days after the event).

The tax base is the gross amount paid by the participant (tax and fees included), per the tax decree. Always check the scale and any exemptions with the Finance & management office.

Designing tickets (coat of arms and wording)

Manage ticket layouts in PDF layouts . For Lausanne, use the dedicated widgets :

  • Lausanne coat of arms (image widget) : place it so it straddles the control stub if any. Colour or monochrome variant (useful for thermal printing).
  • Entertainment tax text (text widget) : the phrase switches automatically —
    “Impôt et frais compris” for a paid ticket, and
    “Billet gratuit, ne peut être vendu” when the tariff price is 0 (invitation / free). Wording must remain in French.

Also include on the ticket (and on each detachable part) : event name, date and venue ; total price in CHF ; serial / order number.

Specimen tickets for the City of Lausanne

  1. Finalise the PDF layout with the Lausanne widgets and link it to the relevant ticket types / tariffs.
  2. In the layout editor, pick a ticket type and a paid tariff, generate the preview, then Download PDF.
  3. Repeat with a 0 price tariff to verify the free-ticket wording.
  4. You can also use the Specimen button from layout mappings (ticket types / default layouts) to download a sample PDF.

Attach a specimen for each ticket type you issue (paper, e-ticket, subscription, etc.).

Sample tax statement (*b)

Provide an accounting extract (or equivalent report) showing for a period / event : organiser, prices, issued / cancelled quantities, gross receipts and IDIV amount. The Excel accounting statement with IDIV columns, once local tax is configured, is usually a suitable base ; complete other required fields (capacity, signature, etc.) as needed.
