How to operate the Trello or Asana made available ?

General principle

We set up a Trello Board for your event that allows us to communicate optimally with your team and allows you and us to have a general overview of the tasks in progress or to be done to complete our common project.

Table

The Trello board is the set of columns and cards related to your event. It can be considered as a large whiteboard where Post-its (cards) are hung and moved from one column to another as they are completed.

Card

Trello cards can be considered as Post-its related to a task or a group of tasks needed to complete your event.

Each card has a title, a description, possibly attachments, checklists, members.

An expiry date can also be associated to a card.

Column

The columns allow you to group cards by category. Cards normally travel from one column to another as they go through their life cycle (usually from left to right). A description of the columns defined for your event is available below.

Columns

Planning

This column contains the next steps in the schedule.

The cards are sorted by increasing expiry date.

If any of the steps in the schedule require a response or work from you or Net Oxygen, it should be moved to one of the two columns on the right.

When the step is completed, the card is added to the planning of the next edition (column on the far right).

Blocked / waiting for information from you

This column contains the cards that need to be processed by you.

The cards that appear first are the ones that seem to us the most blocking and that risk to delay the planning.

When you have provided the necessary information or have a question about one of the cards in this column, simply move it to the column to the rightWaiting for Net Oxygen, so that we can take the necessary action (filing, or new answer).

Waiting for Net Oxygen

This column contains the cards that need to be filed or processed by Net Oxygen.

The cards that appear first are those that are considered by the festival to be the most urgent.

Once Net Oxygen is aware of this card, it will be moved to one of the right-hand columns for processing, or, if information is missing, to the left-hand column Blocked, waiting for return from your share.

Treatment in progress

This column contains the cards that are currently being processed by Net Oxygen.

The cards that appear first are the ones that will be processed most urgently.

When Net Oxygen has finished processing a card in this column, it will be moved to one of the right-hand columns for sorting, or, if confirmation is required, to the left-hand column Blocked / waiting to be returned f rom your share.

Fact

This column contains the cards that are considered finished and serves as an archive.

The cards in this column are placed here by Net Oxygen, the ones that appear first are the ones that have been completed the most recently.

If a card in this column is not actually finished, please move it towaiting for Net Oxygen with a comment so that we can reprocess it.

Next edition / to be discussed

This column contains cards that will need to be discussed for a future edition or that should result in an estimate from Net Oxygen.

The cards in this column are listed in descending order of priority.

Next edition planning

This column contains the next steps in the planning of the next edition of the festival.

The cards from the current edition’s schedule are moved to this column as they come in.

The cards may not be sorted by date yet and the dates may not be up to date.

Tips

What if you don’t get a response ?

It can happen you do not get an answer to your questions in a satisfactory time for various reasons (forget to notify a user, temporary overload, etc.). If this should unfortunately happen, we recommend that you contact us by phone and tell our staff member the Trello card concerned.

Notify a user

In order to notify a user (Net Oxygen employee or one of your own colleagues who is a member of the Trello board), simply type the @ symbol followed by the person’s username (the system will offer to fill in their name automatically).

For example :

@jonathanernst can you tell us when the material will be delivered ?

A push notification and an email will be automatically sent to Jonathan Ernst in this example.

Quote all or part of a previous message

To quote all or part of a message, simply precede the quote with the symbol larger than (>).

For example :

> Do you want to allow your visitors to cancel reservations

Information to be provided to us

Please let us know which members of your team and partners have an interest in collaborating with us through yourTrello board so that we can invite them to join him.
